The National Systems Group serves as the technical adviser to the
National Reconnaissance Office and its mission partners involved in
the collection and distribution of national and tactical
intelligence, including electronics programs, ground and
communications, imagery programs, and systems engineering and
launch.We are looking for an assertive, confident and experienced
Senior-level Administrative Assistant, who will support the General
Manager and staff of the NSG Front Office. They will collaborate
with leadership to ensure effective and efficient operations. As an
integral member of the NSG Operations team, the Senior
Administrative Assistant contributes to key operations-related
decision making, resolves problems quickly, takes ownership of
processes and procedures, and works closely with leaders,
colleagues and customers across the enterprise to ensure NSG
Operations run smoothly and meets deadlines.This is a full-time
on-site role in our corporate office in Chantilly, VA campus. Role
may require limited overtime as needed. What you'll be doing
- Act as a partner, representative, and point of contact for the
Operations GM and Finance Director
- Execute strategic, proactive, and complex
calendar/meeting/event planning, management and conflict
resolution.
- Organize and prioritize projects, critical issues and
information for the leaders to facilitate efficient decision
making
- Lead Group level Operations and Finance projects, tracks
actions items and deliverables to include managing data sets
requiring solid knowledge of Excel functions such as Vlookup, pivot
tables, simple formulas, data validation and graphing
- Arrange travel coordination, logistics, and expense reporting
for leadership.
- Oversee coordination of employee support for the team
(on-boarding, timesheet administration/auditing, supply/equipment
orders)
- Provide input and feedback on Operations activities and
decisions with follow-up communications and coordination
- Works independently and/or cooperatively with a team to
proactively deliver innovative solutions and resolve issues with
minimal direction
- Collaborates with administrative assistants within the Group
and across the corporation to achieve coverage and increase
efficiency, to include backup support to the NSG Senior Vice
President.What you need to be successful
- High School Diploma, GED or equivalent
- Strong technological fluency leveraging a wide range of tools
and platforms including Microsoft Office applications -Outlook,
Word, PowerPoint, Teams, and Excel and collaboration tools such as
SharePoint, Teams, Skype and Zoom
- Advanced administrative skills (i.e., multi-tasking,
organization, collaboration, detail oriented, prioritization,
writing, and proofreading)
- Advanced communication & interpersonal skills (leadership,
collaboration, resiliency, strategic thinking, business acumen,
problem-solving, emotionalintelligence, judgment, decision making)
across all levels of the organization
- Ability to handle sensitive and personnel-related information
appropriately and support sensitive management functions
- Ability to extend Microsoft office application skills
(specifically Excel)
- This position requires a current and active TS/SCI security
clearance which is issued by the US government. U.S citizenship is
required to obtain a security clearance.How You Can Stand Out
