Job Description:

Job Summary: Provide administrative support for senior leaders and Human Resources. Essential Functions: Answer incoming calls and greet visitors, ensuring proper sign-in and badging. Coordinate meetings including room reservation and refreshments. Manage orders for catering services and miscellaneous items for small meetings and occasional facility-wide events. Coordinate logistics for annual events such as holiday party, company picnic and employee of the year award. Create documents, files and meeting materials in Word, PowerPoint and Excel. Provide support on administrative tasks for senior management including expense reports, travel arrangements (domestic and international), and other projects as needed. Provide support to Human Resources such as setting up interview schedules, new hire orientations and other projects. Create badges for new hires and replacements/temporary badges as needed. Maintain contracts database. Manage incoming and outgoing mail (includes distribution of mail, postage metering, federal express, and maintenance of postage accounts and equipment). Submit purchase requisitions for office supplies. Manage coffee and supplies in break room as well as vending accounts. Office space preparations/planning for new hires, terminations and moves. May occasionally perform administrative tasks for other departments as needed. Must have regular and reliable attendance. Other duties as assigned. Supervisory Responsibilities: None. Success Factors: Excellent verbal and written communication skills. Adept at using discretion and maintaining confidential information. Proactive, positive outlook that is apparent to customers and to colleagues. The ability to multi-task in a fast-paced environment and a creative problem solving ability. Must possess the ability to work independently with little supervision. Strong organizational skills and exceptional attention to detail are required. Reliable/Dependable. Willing to take on a variety of tasks and take initiative. Minimum Qualifications / Education: Two-year college degree or equivalent experience. Notary helpful. Computer Skills: Computer literacy in MS Word, Outlook, Excel and PowerPoint. Work Environment: Office/reception environment. Physical Requirements: Must be able to meet National Institute for Occupational Safety & Health (NIOSH) Standards. PI109244659
