Job Description:
The Director of Operations is responsible for overseeing and
managing the day-to-day operations necessary for business success
and growth. As this function is crucial for the success of our
business, we expect you to have a strong sense of ownership and

This is a full-time in-office position at our headquarters in
Chantilly, VA
Responsibilities:
--- Review Real Estate Tracking Management software e.g. CTE, on a
daily basis for currency and accuracy -
--- Recruiting & Onboarding of New ISAs & Staff Members
--- Oversee/Manage Office Personnel
--- Set agenda and prepare the materials for weekly team meetings
(ISA meetings only)
--- Review/organize ISA conversion numbers and make sure ISAs are
on track to hit goals. Ensure Director of Client Care and/or Inside
Sales Agent Growth Leader (ISAGL) has numbers prior to any one on
ones
--- Reviewing systems to ensure follow-up is occurring, alerting
Dir. of Client Care of issues to address with ISAs, enforcing the
process through the system e.g. objection handling in CRM
notes.
--- Reviewing systems to ensure leads are labeled correctly to
ensure they are called and receiving the appropriate mailings
--- Notify Headquarters to offboard ISAs/team members
--- Track all budgets Monthly
--- Assist with Day to Day Operations
--- Assist in teaching classes on our systems/events/listing
process, etc. -
--- Communicate and Coordinate Team issues and/or paperwork with
Market Center
--- Weekly standing meetings with Dir. of Client Care to provide
updates on #'s and all other happenings
--- Ensure all Department Events take place in collaboration with
the Headquarters Marketing Team
--- Monitor and Negotiate any expenditure on behalf of the office
(furniture, computers, office supplies, etc.)
--- Cross Trained on every staff member's position and covers
vacation time.
--- Approve any miscellaneous office expenditures
--- Help assist with launch of any new lead generation initiatives
on the operational side of the rollout. Ensure respective training
is scheduled around drops of those marketing initiatives.
--- Ensure ISAs are following daily assignments as published by
Sales Leadership
--- Manage Expectations of ISA Virtual Admin Team, e.g. Weekly
numbers updated by 9 am on Monday, Appointments by area, etc.
--- Identify and communicate to leadership any issues from specific
agents
--- Routinely checking appointment systems (Knack, Confirmations,
Five9, etc) to ensure scripts and systems are up to date.
--- Ensure communication is happening/responded to between ISAs and
Team (Slack, Appointment, GChat, Email)
--- Ensure that all systems are set up in ISA Bullpen Daily - TVs
are on and numbers are cast
--- Fix any technical issues: phones, headsets, TV casting,
computers.
--- Order any materials needed: computer, headsets, etc.
--- Ensuring that all ISAs have their scripts and qualifying
questions on their desk and additional copies readily available
--- Handling/Communicating ISA Scheduling - Weekday and Weekend
hours
--- Working together with Finance department and ISAs to resolve
any pay issues
--- Tracking all existing ISA Competitions daily to ensure that
numbers are in front of ISAs.
--- Communicate the departure of any OSAs to the ISAs. -
--- Edit scripts based on instruction from ISA Leader. -
--- Coordinate awards for any ISA
competitions/celebrations/outings

Qualifications:
--- Experience with real estate transaction coordination
--- At least 2-3 years of professional office environment required,
preferably as an Operations or Office Manager
--- Highly motivated and goal-oriented with excellent customer
service and communication skills
--- Computer proficiency required including MS Office, GSuite, CTM,
CRMs, MLS, etc.
